Executive Secretary

工作內容:

  1. This position provides administrative and operational support to Taiwan two department and  also requires to provide secretarial support to the Head and other team leaders of department as well as the Legal Director. 
  2. Support and coordinate two departmental admin tasks including regional meeting arrangements, department team building, department publications and others as required by Head of department. Provide secretarial and administrative support to management team including calendar management, meetings, traveling and trainings and daily on site support whenever needed.
  3. Consolidate and compile reports including Monthly, Key Stakeholder Engagement report , Quarterly Scorecard, Gift Hospitality and Entertainment . Provide draft monthly data and track reconciliation for compliance as requested by the management team
  4. Manage department finance and ensure all requested reports are delivered in a timely fashion. Facilitate and coordinate budget with key focus on achieving finance target and highlight possible risk and compliance issues. Work with the team on budget planning, data consolidation, monthly forecast and variance control. Routine tasks include issuing PR, checking for budget balance, monthly PO and MIGO execution.
  5. Work with the team on chamber related communication including membership renewals, event registrations, payment and sponsorship requests.
  6. Act as a contact window for compliance and auditing related requests. Update regulations changes to team members, coordinate and consolidate data as per audit and Gift Hospitality and Entertainment requests

 

需求條件:

-College/University graduate or above

-8+ experience in executive administrative support (preferable with relevant book-keeping/accounting experience)

-Good to excellent in Mandarin and English;

-Solid interpersonal skills and cultural sensitivity

-Excellent communication skills and teamwork qualities

-Candidate should be articulate and presents himself / herself well.

-Proficient in MS Office, excel for budget management
